Filing Contract Forms

On my second day at the internship, I was set the task of filing the model book folder from A to D, E to K and K to Z in alphabetical order according to the spreadsheet/checklist which the folders consisted of the clients' contract forms and personal information. This was a priority task I had to complete as I had to thoroughly cross-check my work to see if the clients are in the Tamblyn Management model book, spreadsheet and folder on S Drive.

This task involved a high level of responsibility and accuracy as I had to make sure I am filing it correctly and making sure their names were on the list. If they were not on the model book or spreadsheet, I had to remove them from the folders and mark them as 'archive' which means they are currently inactive clients or no longer under the Tamblyn Models agency.

Another task I got given to do is filing the archive contract forms and changing the clients status to inactive on Portfolio Pad. This procedure consisted of cross-checking with the contract forms, PP profiles and moving the clients into old talent and creating a folder within the folder called 2018 September as these clients are no longer under with the modelling agency.

Scanning New Contract Forms

During my time at the internship, I also contributed to scanning client contract forms and documents. These documents consisted of new signups for Tamblyn Models. The contract forms included personal details on the client, skills and interests, measurements and features. The process of scanning the documents also involved emailing it to the booking@tamblynmodelling.com.au email then it was saved in the new client's folder under S Drive > Model Images > Division Folder > Model's Name > Book > Docs.  I had to scan a total of seven new contract forms and documents as well as make sure the pages are organised in order for it to be scanned correctly.

As a minor task, I had to put the 2018 contract forms into one document as each page was a single document. The documents are the contract forms sign up information and checklist given to the client to fill out when they join the modelling agency. I then had to save it as a PDF and place it under S Drive. I had to also align and format all 18 pages from the 7 documents into one documents to make it fit on the page.

In terms of the 2018 model book images that were saved in the Docs folder, I had to drag all the PDF files of each model and talent from every division and drop it on to Google Drive. The PDF files were dropped in the folder >Tamblyns data > 120918 PDF files. I then had to create the divisions' folders within the 120918 PDF files and place every model/talent PDF's in their division. Whilst it seemed like a simple job, it was quite time-consuming took due to having to navigate back and forth from each folder of every division to drop each of the model book PDF files into Google Drive. More so, I was also cross-checking my work by following the spreadsheet on Google drive and checking to see if they have their PDF files saved in the Docs folder on S Drive.
